POLICIES

Policy #1 - Refunds

Due to the nature of our business we are forced to implement a strict refund policy and cannot offer refunds under any circumstances. This includes medical issues, vacation, injuries, etc. Although we do not offer refunds (and nor do other gyms, martial arts clubs, etc), we attempt to avoid as much as possible situations where refunds would be requested by offering the best pricing in the city and the most flexible membership and training options.
 

Rules for Refunds:

AFTER A COURSE HAS STARTED - If you withdraw on or after the first day of class for the session the monies apply to, 100% of all monies put towards a course are non-refundable under any circumstances (for the session to which it was intended). This applies for any membership. No exceptions to this policy will be made.

BEFORE A COURSE STARTS - If you withdraw before the first day of class, 50% of the total cost of the course is non-refundable under any circumstances (for the session to which it was intended). This applies for the purchase of any membership. No exceptions to this policy will be made.

MISSED CLASSES - Monies will not be refunded nor will credits or deferrals be given for students who miss classes for any reason.

PAYMENT by CHEQUE - We do not normally accept cheques; however occasional rare exceptions may be made. A $25 Service Charge applies to NFS Cheques. We do not hold responsibility for contacting the customer for any issue which causes non-payment to Kwest Kickboxing. If we allow you to pay by cheque and the cheque does not clear your spot will be released immediately. 

Policy #2 - Make-Up Class Policy (Kickboxing memberships)

1 day memberships - Maximum of 1 make up class during the 3 or 4 month session
2 day memberships - Maximum of 3 make up classes during the 3 or 4 month session
Unlimited memberships - Make up classes do not apply
**Make up classes cannot be carried over into another session; all make up classes must be done during the session for which the classes were missed.

Policy #3 - Signing In For Class

All students must -> sign in at the front desk before they attend a class. If we are over capacity and you are not signed in you will be asked to leave as we must provided a safe work environment for everyone. Signing is helps us monitor class size on a first come, first served basis.

Policy #4 - Hygienic Code

1. Students must wear body deodorant or some form of deodorizing agent.
2. Students must attempt to keep proper dental maintenance (i.e. - regular brushing and fresh breath).
3. If necessary, students should bring a second set of workout clothes and a towel to wipe sweat.
4. Students must keep proper maintenance of their nails (fingernails and toenails).
5. Students must wear clothing that is washed and odour free at the beginning of every class.
6. Out of respect for fellow students, no shirtlessness or exposure of underwear in the gym area (this includes under armor shorts) is allowed. 

* These rules will be enforced and students will be given 3 warnings before they are suspended indefinitely without reimbursement of their student fees.

Policy #5 - Running Indoors

To make running safer and more enjoyable for everyone, please follow some simple guidelines:

1. Green Line - If you are tired or need to stop, please move well inside of the green line.
2. Spread it out - Try not to run in bunches - allow other students space to get past you.
3. Fast and Slower - If you are running slower, run closer to the green line, allowing people to pass on the outside.

Policy #6 - Admittance into Level 2  - Test

Level 2 is where you will learn the intricacies of Muay Thai. It is a more technical than Level 1 and requires that you pass the   Level 2 Test before you may attend. If you are interested in Level 2, please contact the Kru.

Policy #7 - Drop In Fees

For safety reasons, kickboxing drop-ins are not allowed unless pre-approved by the Kru for experienced students. Non-members are welcome to come try 1 class for free if they have previous experience (please pre-arrange this with the Kru).

Policy #8 - Competing Interests

If you are an instructor, trainer, student, owner, or have any affiliation with a competing business you must disclose this in person or in writing to Kru Kelly Westerlund. Failure to disclose this before you start training could lead to automatic suspension from Kwest Kickboxing without reimbursement of fees.

Policy #9 - No Video, Pictures or Reproduction of Events Allowed

To protect the privacy of our students and to protect the intelligectual rights of Kwest Kickboxing - No Video, Pictures, or Reproduction of Events are allowed without the expressed written consent of Kwest Kickboxing Muay Thai and Fitness Club.

Policy #10 - The Schedule

The schedule for class times will be officially updated prior to the start of a new session. On the first day of the new session the schedule will be finalized and any rare changes to class times or gym hours will be sent out by email notification to the entire group. This will allow for students to plan ahead with more confidence. 

Policy #11 - Deposits for Boot Camps

Any deposits put towards a Boot Camp can be transferable to another course a maximum of 1 time. If the student is unable to attend the Boot Camp course for which the deposit was intended their deposit will automatically be transferred to the next course that is offered. If they cannot attend the second course the deposit will not be refunded, transferred, or used as credit. This policy was put in place due to the associated administrative cost we incur as a result of tracking and transferring deposits multiple times.

If a student registers to attend a set Boot Camp and then does not attend with out contacting us for a transfer prior to the start date, the deposit becomes non-refundable.

Policy #12 - Shoe Policy

All students must remove their outdoor shoes before entering the gym. This rule was put in place because the floors collect dirt very quickly and this increases the chance of injury, as well as being generally unpleasant when working on in bare feet. 

Policy #13 - Fight Policy

Any members of Kwest that instigate fights or seem to be in altercations frequently will be suspended from the club indefinitely. We do not condone violence and will not tolerate the use of violence or aggressive or unethical behavior.

Policy #14 - 1 Year Memberships

1 Year Membership rules:
- You are allowed to put your membership on hold 1 time during its life span IF you purchased the membership with suspension option. This holding period can last up to 1 year.
- You can transfer your membership to another student who has experience training at Kwest
- This is not a monthly payment. You can pay with cash or through our online store. Short-term payment plans may be arranged.
- All the rules under our refund policy - policy #1 apply to this payment option, except for the ones mentioned within this policy (#14).

These are common rules in most Martial Arts Clubs, they have been put in place for your safety and to maintain a level of respect for the instructors and other students.



  1. No Outdoor Footwear In The Gym

    Detail - No outdoor footwear is permitted in the gym.
    Reason – Not only do the gym floors absorb dirt very quickly, but outdoor footwear may bring in moisture which can cause the floor to be slippery and dangerous.
    # of Warnings - 1
    Penalty - 50 push-ups at the front of class will be mandatory if this rule is not followed.
  1. No Talking

    Detail – No talking during demonstrations or carrying on lengthy conversations while working out. During breaks, talking is fine.
    Reason – This is disrespectful to the instructor and to other students trying to listen to instruction or just trying to workout. It can also be dangerous if instructions are misinterpreted. Additionally it takes away from the instructors' time by having to repeat instructions and thus takes away from his/her time to spend helping others.
    # of Warnings -    1
    Penalty – 50 push-ups at the front of class will be mandatory if this rule is not followed.

  1. Hygiene

    Detail:
    - Student must wear body deodorant or some form of deodorizing agent
    - Student must attempt to keep proper dental maintenance of their teeth (i.e. - regular brushing)
    - If you sweat a lot, bring a second pair of workout clothes and a towel to wipe your sweat.
    - Student must keep proper maintenance of their nails, both finger and foot
    - Student must wear clothing that is washed and odor free at the beginning of every class
    Reason – Self explanatory
    # of Warnings - 3
    Penalty – Student will be suspended indefinitely without reimbursement of student fees.

  2. No Chewing Gum

    Detail - No chewing gum in class while working out.
    Reason – Gum can become lodged in the throat during periods of intense breathing or physical activity.
    # of Warnings - 1
    Penalty - 50 push-ups at the front of class will be mandatory if this rule is not followed.

  1. No Profanity or other Martial Arts Club Clothing

    DetailNo swearing in class or profanity on clothing. Also, no clothing from other gyms or martial arts clubs can be worn in class.
    Reason 1 - Swearing is inappropriate and disrespectful
    Reason 2 – Wearing clothing with other gym logos is disrespectful
    # of Warnings - 1
    Penalty – 50 push-ups at the front of class will be mandatory if this rule is not followed, and training cannot proceed until clothing is changed.
